Photography consent
Photography / Media Consent
The organizers of the Swiss Robotics Day may arrange for photography, video recording, and live streaming during the Event for documentation, communication, and promotional purposes.
1. What We Record
Professional photographers and videographers authorised by the Organiser may capture:
- General event atmosphere and venue images
- Keynote speeches, panel discussions, and presentations
- Exhibition areas, booths, and demonstrations
- Networking sessions and social activities
- Individual and group photos of attendees
2. How We Use the Materials
By consenting during registration, you grant Swiss Robotics Day's orgnaisers a non-exclusive, royalty-free, worldwide licence to use photos and videos in which you appear for the following purposes:
- Event documentation β reports, recaps, and publications
- Digital communications β website, newsletters, email campaigns
- Social media β LinkedIn, X (Twitter), Instagram, YouTube, etc.
- Promotional materials β brochures, presentations, and future event advertising
- Press and media β press releases and media coverage
Materials may include your name, job title, and organisation where relevant.
3. Speaker & Presenter Content
If you are a speaker or presenter, your session may be recorded and published on various websites, including the website and YouTube channel, for educational and promotional purposes. Speakers may opt out of publication where applicable.
4. Opting Out
If you prefer not to be photographed or recorded:
- Collect a "No Photo" badge at the registration desk upon check-in
- Inform photographers or event staff directly
We will make reasonable efforts to avoid capturing identifiable images of participants with a "No Photo" badge. However, wide-angle or crowd images may occasionally include individuals incidentally.
5. Third-Party Sharing
Event media may be shared with:
- Event sponsors β for co-branded reporting
- Media partners β for press coverage
- Speakers β recordings of their presentations
Media will not be sold to third parties or used outside Swiss Robotics Day activities.
6. Attendee-Generated Content
Participants may take photos and videos for personal or professional use, provided they:
- Respect the wishes of attendees who do not wish to be photographed
- Do not record in restricted areas as indicated by the Organiser
- Comply with the Code of Conduct regarding consent and respectful behaviour
The Swiss Robotics Day organisers encourages sharing event experiences using the official event hashtag.
7. Withdrawal of Consent
You may withdraw your consent at any time by contacting contact@swissroboticsday.ch
- We will remove clearly identifiable images from digital platforms where technically feasible.
- Removal from printed materials, third-party reposts, or archived press coverage may not always be possible.
- Withdrawal does not affect the lawfulness of processing prior to withdrawal.
8. Legal Basis
Photography and media consent is collected as an explicit opt-in during registration.
For general event documentation (e.g. wide-angle crowd images), we rely on legitimate interest in documenting and promoting our activities.
