General Terms & Conditions of Participation at Swiss Robotics Day

1. Scope & Applicability
These General Terms & Conditions ("Terms") govern registration for and participation in the Swiss Robotics Day event ("Event"), organised by RobotX ("Organiser") in collaboration with Swiss Robotics Association (“SRA”). By completing the registration process on the SRAtix platform, the participant ("Participant") acknowledges and accepts these Terms in full.
If the Participant registers on behalf of a company or organisation, they confirm that they are authorised to bind that entity to these Terms.
2. Registration & Confirmation
Registration is completed through the SRAtix online registration form. A registration becomes binding once the Participant receives a confirmation email containing ticket details and a QR code.
The Organiser reserves the right to refuse or cancel registrations without stating reasons, including but not limited to cases of suspected fraud, duplicate registrations, or violations of the Code of Conduct.
Each email address may only be used for one registration per Event per year.
3. Ticket Types & Membership Pricing
Tickets are available in the following categories: Senior Academics and Professionals; Young Academics and Professionals (<35); Students (PhD, MSc, BSc); Academia/NGOs (small and large booths); Start-ups/Spin-offs (small and large booths); and Industry/Government (small and large booths). Certain ticket types may include Swiss Robotics Association membership, or may be purchased by already registered members of the Swiss Robotics Association for the current year.
Member-discounted tickets require a valid membership at the time of purchase. If membership cannot be verified, the Organiser reserves the right to charge the difference or cancel the ticket. Early-bird pricing is available for a limited time or quantity as indicated on the registration page. Once the early-bird allocation is exhausted, standard pricing applies automatically.
4. Fees & Payment
All prices are stated in Swiss Francs (CHF) and include VAT. Payment is processed exclusively through Stripe. The Organiser does not store credit card details.
Payment must be completed at the time of registration. A ticket is only valid once payment has been confirmed. The Organiser may offer invoicing for corporate orders upon request.
5. Cancellation & Refund Policy
Cancellations must be submitted in writing by email to the Organiser.
- Cancellation received by October 1, 2026 – Full refund of prepaid fees, minus a 15% administrative fee.
- Cancellation after October 1, 2026 – No refund will be possible.
- No-shows are not entitled to a refund.
All approved refunds will be processed and issued within 60 days after Swiss Robotics Day 2026.
6. Exhibitor-Specific Terms
Exhibitor tickets include booth access, and a defined number of staff passes. Additional staff may be added through the Exhibitor Portal up to the maximum permitted by the ticket type.
Exhibitor cancellations are subject to the same refund schedule above. Booth assignments are non-transferable without the Organiser's written consent.
Exhibitors are solely responsible for the content displayed at their booth and must ensure compliance with applicable Swiss law, including advertising and competition regulations.
7. Event Modifications & Force Majeure
The Organiser reserves the right to modify the programme, schedule, speakers, or venue at any time. Such changes do not entitle Participants to a refund unless the Event is cancelled entirely.
In the event of cancellation by the Organiser due to force majeure (including but not limited to pandemics, natural disasters, government orders, or venue unavailability), registered Participants will receive a full refund. The Organiser shall not be liable for any consequential damages such as travel or accommodation costs.
8. Check-In & Access
Access to the Event requires presentation of a valid QR code (digital or printed). QR codes are verified via the SRAtix check-in system and are single-use: once scanned, re-entry requires re-scanning and may be restricted by the Organiser.
The Organiser reserves the right to deny entry or remove any Participant who violates these Terms or the Code of Conduct, without refund.
9. Liability & Insurance
The Organiser shall not be liable for any loss, damage, injury, or theft sustained during the Event.
Participants attend the Event at their own risk. The Organiser recommends that Participants and Exhibitors maintain adequate personal and travel insurance.
10. Intellectual Property
All Event materials, presentations, and branding are the intellectual property of the Organiser and SRA or the respective speakers and may not be reproduced, distributed, or commercially exploited without prior written consent.
Participants may take notes and photographs for personal use, subject to the photography policy and any speaker-specific restrictions announced during the Event.

11. Data Protection
Personal data collected during registration is processed in accordance with our Privacy Policy. By registering, the Participant acknowledges having read and understood the Privacy Policy.
12. Code of Conduct
All Participants are required to comply with the Event's Code of Conduct. The Organiser reserves the right to remove any person who violates the Code of Conduct without refund.
13. Jurisdiction
The exclusive place of jurisdiction for all disputes arising out of or in connection with these Terms is Zurich, Switzerland.
14. Severability
If any provision of these Terms is held invalid or unenforceable, the remaining provisions shall continue in full force and effect.
